Retail Stock & Logistics Manager
Job description
You will lead, support and motivate a team of stock assistants, drivers & volunteers.
Purpose & Scope
This role requires a Retail Stock & Logistics Manager who will play a pivotal role in ensuring the smooth running of our Central Stock Hub, located in Riddings. You will also ensure the effective management and movement of stock for 36 Lighthouse Charity shops across Derbyshire & Nottinghamshire. You must be a forward thinking experienced manager who can think strategically and work reactively, is confident in their management skills and is not afraid of taking on a challenge.
You will lead, support and motivate a team of stock assistants, drivers & volunteers in accordance with Valley CiDS standards and policies, creating a safe and energised work environment, whilst setting high standards in all areas. You will be responsible for ensuring donated goods are sorted, categorised and moved to the right location.
Specific Duties & Responsibilities
People Management
• Seek to promote a positive team culture across the different departments, fostering a spirit of unity and belonging, whilst identifying and developing the skill sets of individual team members.
• Effectively recruit, induct and train staff and volunteers ensuring they are fully equipped with the knowledge and understanding of stock sorting, distribution and shop operations in order to perform their roles effectively.
• Be responsible for the annual appraisals of all staff across the Central Stock Hub and transport structure and conduct regular one to one meetings to monitor performance.
• Organise working patterns for all staff and volunteers ensuring the departments are fully staffed and effectively operating at all times, at least 6 days a week.
• Ensure a standard of excellence in areas such as Customer Service and overall communication with staff and members of the public.
• To ensure that the entire staff team is compliant with common core training requirements including Manual Handling and Safeguarding and consistently following the guidelines given in this training.
Fleet Management and Logistics
• To ensure the highest standards of fleet management and maintenance are implemented in accordance with
Health and Safety regulations.
• To maximise the efficiency and effectiveness of each van route in order to achieve the number of collections/deliveries required each day to service our retail portfolio.
• To analyse tracker data regularly and respond to poor driver behaviours.
• Manage online collection/delivery bookings to ensure efficiency of the routes and time.
• To reduce impact on routes when a van is having routine/unplanned maintenance.
Transport Standards
• To ensure Retail Van Drivers fully understand and implement daily safety checks: e.g. tyre & tail lift inspections, fluid level inspections, light inspections etc.
• To ensure that Retail Van Drivers maintain a high standard of service to customers at all times.
• Ensuring drivers are loading/unloading vans correctly to ensure safety of stock
• To conduct regular, documented fleet and driver assessments to ensure best practice is being consistently implemented across the fleet.
• To ensure that Retail Van Drivers are implementing gift aid processes on collections.
Stock Management
• To coordinate the movement of stock between the Central Stock Hub and other Lighthouse Charity Shops, prioritising organisational needs, sales trends and shop demographics along with each shops collections and deliveries.
• Oversee the overall stock management within the department, ensuring stock is sourced, sorted and processed in an effective and timely manner.
• Communicate effectively with all Lighthouse Shop Management teams and the Senior Retail Team to ensure effective and efficient movement of stock.
• You will be responsible for the management of waste at the Central Stock Hub and must ensure costs are kept to a minimum whilst operating as sustainably as possible.
Policy and procedure
• Ensure that Valley CiDS Health and Safety policies and protocols are being fully adhered to, and that Central Stock Hub and Logistics equipment is maintained at all times.
• Ensure Valley CiDS Gift Aid policies are followed.
• Ensure all Stock Hub and Logistics Risk Assessments are implemented at the correct time and that all paperwork is completed.
• Ensure that Valley CIDS Safeguarding processes in relation to children and vulnerable adults are implemented consistently.
• Ensure that Valley CIDS Equality & Diversity policies and practices are adhered to by all staff and volunteers.
• Ensure that Valley CIDS Data Protection & Confidentiality policies are adhered to by all staff and volunteers.
Administration
• Comply with Valley CiDS Financial and Administration procedures as detailed in the Retail Operations Manual and Staff Handbook.
• Manage all Logistics paperwork, ensuring it is in good order and submitted as required to Head Office.
• Ensure all communications and instructions from Head Office are actioned and passed on to all members of the team.
• Ensure that all Central Stock Hub property defects both internal and external are reported.
• Demonstrate excellent competency using IT equipment on a daily basis.
Other
• Uphold and promote the ethos and values of Valley CiDS at all times.
• Keep up to date with all Valley CiDS activity throughout the whole of the charity, engaging and supporting as and when required to help build publicity and help maximise income.
• Be willing to travel to other sites and meetings in line with the needs of the business.
• Carry out any other reasonable duties and responsibilities, appropriate to the level of this post.

Experience
• Proven track record and at least 3 years management and leadership in the charity retail sector, including recruitment, induction and performance management experience.
• Proven expertise in stock management within the charity retail sector.
• Working knowledge of logistics – our fleet is currently made up of eleven drivers, two cover drivers and five 3.5tonne vans.
Other Requirements
• Full driving licence and use of a business insured vehicle during working hours.
